(1) Vendor needs to provide agenda management software. – Agency is seeking an agenda management software that includes the following features: • Agenda Management Component– Ability to create, edit, and publish meeting agendas with customizable templates and other related materials.– Ability to handle large attachment files sizes– Compatibility with Microsoft Office and PDF formats– Ability to generate specific reports– Agenda item management with customizable workflow for staff reviews and approval of agenda items• Implementation and Support– Data conversion from currently used software; transferring existing agenda and minutes data into the new system.– Provide user training for City staff and administrators• Board and Commission Component– Support 13 Boards and Commissions– Publish meeting agendas in multi–languages and minutes– External facing view of boards and commissions member’s name• Video Streaming Component– Allow for live streaming of meetings– Closed captioning capabilities– Ability to timestamp items in m(2) All the questions must be submitted no later than December 11, 2025.
