An institution is seeking a vendor to deliver a cloud-hosted practice management and electronic health record (EHR) system to support student health services, counseling, and athletics. The proposed solution must be hosted within the United States and provide robust data security measures, including redundancy, regular backups, disaster recovery protocols, and encryption for data at rest and in transit.
Key requirements include interoperability with existing campus systems such as Peoplesoft, Workday, Rcopia, Relaymed, ProPharm, Waystar, LabCorp, Medical Imaging, KidsNet, and Flywire, with scalability to integrate with future platforms like Banner and Canvas. The system must also comply with university single sign-on requirements and adhere to relevant regulations, including FERPA, HIPAA, HITECH, and the CURES Act. Vendors are expected to provide current security certifications (such as HECVAT and SOC 2) and a comprehensive list of implemented security controls.
The vendor will be responsible for legacy data migration, covering clinical, counseling, and billing records, including both recent and historical files. This involves data mapping, validation, and quality assurance. Additionally, the scope includes thorough implementation support—system design, configuration, integration, migration, staff training, and both go-live and post-deployment assistance—to ensure a smooth transition and ongoing support.
The selected platform should feature integrated telemedicine and counseling tools, supporting secure video consultations, behavioral health workflows, and specialized telehealth for athletic injury assessment and follow-up care. End-to-end revenue cycle management capabilities are also required, including charge capture, claims management, electronic submissions, denial resolution, payment posting, patient statements, and financial reporting. Regular updates to the system are expected to ensure future compliance and alignment with technological advancements.
