A government authority in Allegan, Michigan is seeking a vendor to provide medical record database extraction services. The selected vendor will work with a user interface connected to a back-end SQL database containing client and configuration data across approximately 780 tables. Most of these tables support lookups or user interface functionality and contain limited data fields and rows.
The scope includes extracting each client’s data from the SQL database and assembling it into a complete, logically structured report. Each report must be exported, saved, or printed to PDF using the client’s unique Client ID as the filename, resulting in an estimated 20,000 PDF files. These medical records are primarily needed for retention purposes and are expected to be accessed infrequently.
In addition, the vendor must export a CSV client index using selected fields from the master client table, including Client ID, First Name, Last Name, Birth Date, and potentially other key identifying fields. The vendor must also import the index and associated PDF documents into Upland’s FileBound document management solution used by the county for digital records, including any documents linked to client records as exhibits.
