Managed Print and Digital Distribution Services

The Transition Plan must be submitted within 30 calendar days of contract execution.

The City of Virginia seeks a vendor to provide comprehensive managed print and digital distribution services. The selected partner will deliver an end-to-end solution encompassing secure document intake, data processing, high-volume transactional printing, small-batch on-demand printing, address validation, and digital presentment. Additional requirements include secure hosting, pressure sealing of print requests, document retrieval, detailed reporting, and continuous operational support.

The solution must be secure, dependable, and scalable to accommodate the city's growth, adhering to all applicable regulations and retention policies. Authorized city staff should be able to perform searchable document retrieval by account number, date range, or document type. Reporting services must include secure online access to a real-time production dashboard and comprehensive monthly or on-demand reports on production, costs, and performance.

The system should accept data from multiple digital submission methods such as integrations, file transfers, and portal uploads, with full validation, formatting, batching, preparation for production, job tracking, and audit capabilities. Services should also include secure electronic presentment of municipal documents, a customer self-service portal for document retrieval and electronic delivery, and on-demand/small-batch printing to support varying departmental needs.
