(1) Vendor needs to provide mail ballot tracking software. – Provide software and services surrounding the tracking of the outgoing and return delivery of mail ballots services, and the status of mail ballots issued • Work: – System approved for use would need to have or develop a future capability to integrate with the TotalVote (TV) Statewide Voter Registration and Election Management System (VREMS) to ensure maximum voter transparency and ease of use. – Provide adequate research, voter assistance and reporting capabilities to be utilized by agency – Agency require access to raw data in order to track ballots, provide enhanced reporting on timelines and metrics, and to answer questions from legislative leadership. – Vendor must supply training, operational manuals and opportunities to onboard and train each participating agency staff, on the various features and appropriate use of the system to ensure the accurate use of and reporting from the system. – The vendor will need to utilize output data from voter registration system (VR system) or election management software (EMS) on a daily basis. – Minimum requirements for the eligibility file include Voter ID and ballot status column. – Technical support for the vendors services would need to be available for any agency staff on how to create and manage ballot status messaging and run election campaigns. (2) All the questions must be submitted no later than November 13, 2025.
