(1) Vendor needs to provide litigation holds and eDiscovery overview solution. • Modernize and automate its litigation hold and electronic discovery (eDiscovery) processes to evaluate available technologies that support legal compliance, data governance, and risk management while improving operational efficiency and reducing manual effort. • Automate litigation holds notifications, acknowledgments, and reminders. • Streamline custodian management and tracking. • Provide comprehensive Litigation Hold Reporting, including status dashboards and escalation alerts. • Integration Capabilities – compatibility with Microsoft 365, Exchange, SharePoint, Teams, and file servers • Enable Mobile Device Discovery (e.g., iOS, Android) with defensible collection methods. • Support Email Deduplication and thread analysis to improve review efficiency. • Offer Redaction tools with Privilege Log generation to ensure compliance and confidentiality. • Handle Large–Capacity Data Sets with scalability across multiple custodians and cases. • Support Bates numbering, document bundling, and service (production) management. • Maintain audit trails, role–based access, and chain–of–custody integrity. • Ensure defensible preservation of electronically stored information (ESI). • Enable search, collection, and export of ESI across diverse County systems. • Reporting of role–based access controls, audit trails, and chain–of–custody events. • Integrate with existing County IT platforms and meet CJIS, HIPAA, and local government compliance requirements. • Provide secure, role–based access control with strict data segregation across departmental boundaries. • Provide options for on–premises, cloud, or hybrid deployment.
