(1) Vendor needs to provide electronic filing system. – Provide electronic scanning of all Human Resources files for cloud access from offsite storage. – Remote storage wanted for all HR Files (both active and non‐active) stored in a cloud based compliant and secure software system with (4) named users. – This system is housed to comply with physical and logical security standards: SOC2, PCI/DSS, HYPPAA and VISA compliant. The system should meet a disaster recovery requirement. – Provide external user document upload process. ‐ All documents should be converted to searchable PDF's format. ‐ Training for system users. ‐ Design the document vault structure based on needs expressed by agency ‐ Document list will be preloaded into database. ‐ Expedite folders will be processed as needed and made available in the database as per request. (2) All the questions must be submitted no later than November 6, 2025.
