The new solution should provide excellent ease of use, efficient data entry including the ability to easily correct user errors, and a strong activity audit trail. The system's record searching function must allow for searching by name and additionally provide for other fields to search, filter and sort by. The system provides a mechanism for creating single use, ad hoc reports using any/all system fields and summarizing capabilities. The system provides the ability for applicants to provide a digital signature online and in–office. The vendor provides appropriate support via ticketing system or similar with appropriate response times. The system provides a mechanism for communication between requestor and fulfiller. The system provides an administrative interface for user and role management and system configuration management by Jefferson county staff as designated. The system supports the adding, modifying, deleting of roles associated with users. The system supports varying user roles commensurate with responsibilities and ability to apply least permissions. The system ensures multiple, redundant daily backups to safeguard against data loss. The system supports migrating and storing millions of records dating back to 1859 for land records and 1980's for marriage records. (2) A pre–bid meeting will be held on February 11, 2026. (3) All questions must be submitted no later than February 17, 2026. (4) A contract period will be for one year.
