The client is seeking a vendor to provide a cloud-based public records intake, response, and management system. The selected solution should function as a Software-as-a-Service (SaaS) and include a public-facing submission portal for records requests.
Key functionalities must include automated workflow routing, acknowledgment, and deadline tracking. The system should offer comprehensive document management capabilities, including version control, redaction, and secure delivery, with a full audit trail and reporting dashboard. Integration with existing systems such as Microsoft 365, Outlook, SharePoint, and PeopleSoft is required, as well as multi-campus administration through a unified interface.
The contract is expected to span five years, and all vendor questions must be submitted by June 16, 2026.
