(1) Vendor needs to provide cloud–based park asset reservations system. • Provide a comprehensive, cloud–based park asset reservation system to serve residents, visitors, and staff. • System is intended to enhance access, streamline operations, and improve the overall user experience for reserving park facilities such as picnic sites, pavilions, sports fields, and event spaces across The City’s parks. • Deliver more convenient, transparent, and responsive services to the public while supporting efficient management and equitable access to our recreational assets. • Online Reservations: Public–facing portal (desktop and mobile accessible) for customers to view availability and make reservations. • Calendar & Scheduling: Real–time facility and equipment scheduling with conflict–prevention features. • Payment Processing: Secure integration with online payment platforms, supporting multiple payment types (credit card, ACH, etc.) via the PayItGov system. • Customer Management: Database of customer profiles, history, and communication logs. • Notifications: Automated confirmations, reminders, and cancellation notices via email/SMS. • Reporting & Analytics: Standard and customizable reports for usage, revenue, and operational trends. • User Roles & Permissions: Role–based access for staff at different levels (administrators, clerks, supervisors, etc.). • Data Migration: Transfer existing open reservation records into the new system. • Help Desk Support: Tiered support for staff issues during business hours, with emergency escalation procedures (2) All the questions must be submitted no later than November 7, 2025
