(1) Vendor needs to provide board meeting management software.– Provide a secure cloud based Board Meeting Management Software System to facilitate effective meeting management and document circulation in respect of board, committee and other working groups• Services include– Access for users to a secure cloud based BMMSS.– Configuration of the BMMSS to meet requirements.– Training of staff in the operation of the BMMSS.– On–going maintenance and support of the BMMSS software and dependent components.– Provision of technical user support via draw down days on an as required basis.– Secure access to meeting packs.– Creation and storage of agendas and associated papers for meetings.– Issuance of notifications to meeting attendees.– Users’ ability to annotate items and highlight areas for discussion at meetings.– Sharing of notes to agenda items for both individual users and for sharing with other attendees.– Tracking and recording of votes and polls during meetings.– Recording of attendance.– User control that includes the ability to set permissions for the meeting and agenda items.– A resource / document library to store documents, records, reports, publications which is easy to navigate for users– Robust search functionality for all document and meetings.– Customer support service via portal in person or helpline(2) All the questions must be submitted no later than December 5, 2025.
