An organization is seeking a qualified vendor to provide comprehensive planning and management services for its 50th Anniversary celebration. This culturally grounded event will require the vendor to develop and oversee an event plan that respects and incorporates cultural protocols, as well as participate in pre-event planning meetings to craft the celebration vision.

Key responsibilities include developing a detailed budget for all planned activities, with contingencies for unforeseen circumstances. The selected vendor will manage all aspects of registration, including registration systems, on-site check-in, and ensuring accessibility accommodations for attendees. Additionally, the vendor will coordinate event logistics such as food, coordinating with various vendors, arranging the venue and site logistics, transportation and parking, organizing staffing and volunteers, providing needed equipment, and preparing appropriate signage.

Safety planning is an essential element of this engagement. The vendor will be required to create and maintain a comprehensive emergency and safety plan covering first aid, weather contingencies, evacuation procedures, and incident reporting. After the event, the vendor must conduct a debrief with the Executive Director and deliver an After-Action Report detailing lessons learned and providing a complete summary of costs.
