The State of Delaware is seeking a vendor to provide comprehensive ambulance billing, collections, and payment processing services for basic life support ambulance operations. The vendor will be responsible for preparing and submitting claims to Medicare, Medicaid, private insurers, and self-pay patients, and for managing all collections and payment processing, including patient payment plans and deposit summaries. The provider must use the ImageTrend electronic patient care reporting system required by all Delaware ambulance companies, ensuring data accuracy, completeness, and compliance prior to beginning the billing process.
Responsibilities include assisting with patient inquiries, mailing Notice of Privacy Practices to all transported patients, and depositing collected funds to the appropriate fire/ambulance company’s bank accounts. The vendor must issue detailed monthly financial reports by company, maintain adherence to all federal, state, and local regulations—including HIPAA and CMS rules regarding ambulance billing—and keep the county informed of regulatory or rate changes. The selected firm is expected to support Sussex County by offering transparent monthly billing statements that reflect collections for each company.
