DESCRIPTION
The contracted vendor will provide comprehensive event management and timing services for a 5K event. Responsibilities include establishing and managing online race registration platforms such as Race Roster, RunSignUp, or equivalent systems, configuring registration categories and pricing, incorporating fundraising options, and maintaining participant data. The vendor will oversee continuous updates to the event website throughout the registration period.
Coordination with the event venue is required to address event logistics, scheduling, and operational needs, including the creation of venue layouts and event site maps, and managing both setup and breakdown operations. The vendor will handle all participant communications before, during, and after the event by developing and distributing informational emails, race instructions, and timely updates.
Additional duties include promoting the event through community engagement, submitting event details to public calendars, and managing fundraising campaigns associated with the event. The vendor will also be responsible for racecourse logistics, including marking the course, setting up signage, route indicators, and developing maps for the course, traffic control plans, and volunteer deployment strategies.
