An Alberta agency is seeking expert services for the implementation and development of SharePoint site architecture and records management. The selected vendor will provide comprehensive guidance, analysis, design, and planning to support the creation of an enterprise SharePoint information architecture, as well as the implementation of an agency-wide records management framework.
Key responsibilities include assessing current departmental practices, legacy drives, and existing SharePoint sites, as well as reviewing the lifecycle of digital records across systems such as SharePoint, Laserfiche, Teams, and email. The vendor will design a scalable, departmental and function-based SharePoint folder and library structure suitable for replacing network drives. Recommendations will be provided on metadata models, naming conventions, and classification elements to enhance records findability and retention compliance.
Additional tasks involve developing governance standards and documentation for SharePoint and Microsoft 365, preparing a migration strategy and implementation roadmap, and identifying opportunities for automation. All deliverables must comply with the Municipal Government Act, Access to Information Act, Protection of Privacy Act, and evolving legislative requirements under the agency’s Privacy Management Program. The contract duration is one year.
