DESCRIPTION


The selected vendor will provide events coordinator services, developing, coordinating, promoting, and implementing community engagement initiatives, downtown programming events, city-sponsored activities, and tourism-related programming in alignment with organizational priorities. The responsibilities include serving as the operational lead for assigned events and program initiatives, which involves managing logistics, scheduling, safety, operational support, and resolving issues during implementation.

The coordinator will handle sponsor participation, vendor management, partnership engagement, volunteer coordination, and community stakeholder involvement for events and initiatives. Additional duties encompass coordinating operational support, permitting, rentals, and securing necessary approvals from both internal departments and external agencies to ensure the smooth running of events. The contractor will build and maintain relationships with local businesses, nonprofit organizations, sponsors, tourism partners, community groups, and city staff, while also supporting downtown engagement, business outreach, and tourism promotion efforts in collaboration with leadership and communications teams.

The role includes maintaining detailed event calendars, operational records, sponsorship and participation documentation, and associated financial records according to city procedures, without independent budget authority. Other responsibilities involve preparing reports, operational assessments, and recommendations, as well as assisting with setup, operations, and event breakdown activities.
