DESCRIPTION


The agency is seeking a modern, cloud-based facility and recreation management solution to replace its aging on-premise system. The proposed platform should be feature-rich and security-focused, with the ability to support identity, access, and user management for students, staff, and community members. The solution should also provide real-time evening uploads for student and staff validation, native compatibility with HID iClass GH encrypted cards, centralized user profiles, household or family account functionality, and a standardized interface across mobile, desktop, and tablet devices.

The system must support facility booking and scheduling for courts, fields, studios, ice, and pool spaces, including real-time booking, conflict detection, calendar management, and public-facing views of facility availability. The agency also envisions integration with a sport management system to support student-athlete and coach travel, education, and administrative functions, with the goal of improving workflow efficiency, consolidating data, and reducing the overall application services footprint.

The solution is expected to support more than 150 internal system users, including full-time and part-time Sports and Recreation staff, as well as more than 45,000 annual members across campus and community patrons. The contract term will be three years, and questions are due by May 25, 2026.
